This guide explains how to check in attendees to onsite segments in the RingCentral Events Organizer mobile app.
Important: You need to create schedule segments with onsite capacity first.
Checking in attendees to segments
To check attendees directly into scheduled onsite segments:
- Tap the Menu icon and go to Segments.
- Scroll through the segments day by day or use the top banner options to filter segments by the Onsite area. Tap the desired onsite segment from the list.
- Use your camera to scan the attendee's QR code.
- Alternatively, tap Search by name to manually search for the attendee by name. Once found, tap Check in.
After scanning the QR code, you may see one of the following screens:
- Green: The attendee is successfully checked in.
- Orange: The attendee has already been checked in.
- Red: If the attendee is not eligible due to their ticket type, the QR code is invalid, or the room is full.
- Blue: Your device is not connected to the network.
Overriding attendance
If the segment is already full or the ticket type holder is not eligible, you will have the option to override the check-in and allow the attendee to enter the segment.
To grant access tap Override Attendance, then confirm by tapping Yes.
Automatic registration
By default, if an attendee tries to check in without a seat reservation, they will be automatically added to the segment if space is available.
To disable automatic segment registration, tap the Menu icon and go to Event settings. Toggle off Segment Auto Registration.
Now, when scanning the QR code of an attendee without a reservation, you can confirm or decline their registration.
To check in the attendee, tap Register and Check-in, then confirm by tapping Yes.
