Assigning Lead Retrieval license to an Expo Booth

This guide explains how to enable Lead Retrieval for an Expo Booth and invite Exhibitors at your Hybrid or Onsite event

Important: Lead Retrieval is an add-on feature. To purchase Lead Retrieval credits for your Organization, schedule a call with our sales team through the contact form on our website

Assigning Lead Retrieval license

First of all, you will need to create a Booth for each exhibiting organization.

  1. Go to Event Dashboard > Venue > Expo in a Hybrid event (or Event Dashboard > Content > Schedule in an Onsite event).
  2. To create a new booth, click Add booth
  3. Fill in Expo Booth details. For detailed steps, follow our Expo tutorial.
  4. In the Expo Booth settings, under Lead Retrieval License, enable the Licence issued check box.
  5. Click Save.

To enable Lead Retrieval for an existing Expo Booth:

  1. Go to Event Dashboard > Venue > Expo in a Hybrid event (or Event Dashboard > Content > Schedule in an Onsite event).
  2. Locate the needed Booths on the list.
  3. Under Lead Retrieval, toggle Issued.
    Tip: You can issue and unissue the license by enabling and disabling the toggle.

Inviting Exhibitors

To be able to scan leads in the RingCentral Events Attendee app, your Exhibitors need to be assigned as Exhibitors to their Expo Booth and be registered for the event under a hybrid or onsite ticket. 

To assign an Exhibitor to their Expo Booth:

  1. Go to Event Dashboard > Venue > Expo in a Hybrid event (or Event Dashboard > Content > Schedule in an Onsite event).
  2. Click Invite Exhibitor. 
  3. Enter the Exhbitor's email, select the booth you created for them and click Send Invite. For detailed steps, refer to our guide on Inviting Exhibitors to set up an Expo Booth.
    Tip: You can invite multiple people to the same Expo Booth if there are several lead scanners per organization.
  4. Confirm your Exhibitors have accepted the invites and have access to their Booth settings. For better guidance, forward them our dedicated guide Exhibitors: Setting up an Expo Booth.

To get your Exhibitors registered for the event, you can use one of the following options: 

  1. Send them a Magic Link invite. For detailed steps, refer to our guide on Using Magic Links.
  2. Upload a CSV file with their registrations. For detailed steps, refer to our guide on Uploading registrants in bulk.
  3. Or instruct them to get a ticket on your event landing page. 
    Important notes: Exhibitors must be registered under a hybrid or onsite ticket type and the same email address to the Exhibitor invitation was sent.
