Setting up a kiosk

This guide explains how to create and set up a kiosk for self-check-in at your Hybrid or Onsite event.

Creating a kiosk

To create a Kiosk:

  1. Go to Event Dashboard > Onsite Features > Kiosk Mode.
    Note: Here you will see one default kiosk already created. While it cannot be removed, you can set it up to meet your event needs.
  2. Click Add kiosk


  3. Enter the name of your kiosk and click Add kiosk.

Once added, kiosks will be listed on this page. Here’s what you can do:

  • Edit: Hover over the listing and click the Pencil icon to configure a kiosk.
  • Delete: Hover over the listing and click the Bin icon to delete a kiosk.
    Note: The default kiosk cannot be deleted.

Setting up a kiosk

To set up a kiosk, go to Event Dashboard > Onsite features > Kiosk Mode. Hover over the kiosk listing you'd like to set up and click the Pencil icon.

The kiosk settings are broken into 4 tabs: Start, Check-in, Final and Post Check-in.

  • Preview: See how your Welcome screen will look on your device.

    • In the Select a Device drop-down, select your iPad or Samsung model. Alternatively, click Custom size to input your tablet dimensions.
    • Choose the orientation of your device (landscape or portrait) by clicking the respective buttons.

    Kiosk name: Adjust your kiosk name if needed.

    Welcome message: Use the text editor to edit and style your welcome message. The Start button text cannot be customized. 

    Tip: Use the preview to ensure the text is fully visible and readable against the chosen background image or color. 

    Under Welcome screen, toggle Customize on to brand your Welcome screen:

    • Background image: Upload your custom background image for the Welcome screen (for both portrait and landscape orientation). 
    • Background color: Change your Welcome screen background color.
    • Start button: Choose to display a start button and adjust its text and border color, or let attendees tab anywhere to begin the check-in.

      Tip: In the Color picker, you can select a color manually or pick it from the screen. To enter your brand color code, click on the color code type to switch between HEX, RGB and HSL.

    Advanced settings > Kiosk password: Set a kiosk password for accessing and exiting this kiosk in the RingCentral Events Organizer app

    Note: Setting no password means onsite staff will need to set a temporary password when accessing the kiosk in the Organizer app. 

  • Filter Settings: Select ticket types allowed to check in at this kiosk. Only hybrid and onsite ticket types will be shown on this list.

    Note: If you do not select any tickets, all ticket types can be checked in at this kiosk. 

    Identification settings: Choose how you would like your attendees to complete their check-in.

    • Allow scan: Allow attendees to scan their QR code.
    • Allow search: Allow attendees to search for their names and/or email addresses.
      • Search auto complete: Enable search suggestions when attendees are searching for their name or email address. 
      • Search by: Allow attendees to search by name, email address, or both.
      • Custom search results message: Customize the message guests see when no results are found after searching.
    Important: You must have one of the identification settings enabled to save your kiosk configuration. 

    Features > Confirmation details: Enable this option to allow guests to see their registration information, edit their badge name and custom registration form answers during the check-in process. In the Set Registration Type drop-down, select ticket types that have access to this option.  

    Note: If you do not select any tickets, all ticket types can see their registration details. 

  • Custom message title: Customize a farewell message title your attendees will see once they have successfully checked in.

    Custom message content: Customize a farewell message your attendees will see once they have successfully checked in.

    Check-in message display time: Set the number of seconds your farewell message will display. 

  • Show details: Choose if attendees can see their registration details after checking in. 

    • Locked: A password will be required to see the registration details.
    • Hidden: Registration details will not be available to attendees.
    • Visible: Attendees will be able to see their registration details.

    Badge reprint: Choose if attendees can reprint their badge after checking in.

    • Locked: A password will be required to reprint a badge.
    • Hidden: Badge reprinting will not be available to attendees.
    • Visible: Attendees will be able to reprint a badge.

Once you're ready, click Save.

Accessing kiosk mode

Once you have it all set up, you can access the kiosk mode in the RingCentral Events Organizer mobile app and prepare your tablet for self-check-in. For detailed steps, refer to our guide Organizer app: Accessing kiosk mode.  

Note: Kiosk mode is only available on tablets. You will not see this option when using a smartphone.
