Adding a hybrid or onsite segment to schedule

When creating a Hybrid event, you can specify whether a schedule segment is hybrid, virtual only or onsite only. In an Onsite event, all schedule segments are onsite by default. This guide explains the specifics of adding a hybrid or onsite segment to your event schedule.

To add a schedule segment, go to Event Dashboard > Venue > Schedule in a Hybrid event (or Event Dashboard > Content > Schedule in an Onsite event). Here you can use the table view or the calendar view.

    1. Select Table from the toggle at the top of the page.
    2. Press the Q key or click + Quick add new.
      ✔ A new row is added to the table.


    3. Add the title and the start and end time and press Enter or click Add.
      ✔ A new segment is created.


    4. Use the table to further edit details like description, speakers, tags, etc. Scroll horizontally to access all fields.
    5. Under Segment Format, select Hybrid or Onsite (applies to Hybrid events only).


    6. Under Onsite space, choose which room at your onsite venue the segment will take place in (60 characters max).
      • Select an existing room from the drop-down.
      • To add a new room, type in its name and click + Create.
      • Click Edit rooms to rename, add, and remove onsite rooms.


    7. Under Onsite capacity, specify the number of seats available for the segment.
  • In the Calendar view, your schedule is presented in the daily schedule format.

    1. Select Calendar from the toggle at the top of the page.
    2. Click + Add to Schedule.
      (Or click on the Plus icon + next to the chosen time slot).


    3. In the Segment details, add title, description, start and end time, speakers, tags, etc.
    4. On top of the Segment details, select Hybrid or Onsite (applies to Hybrid events only).


    5. Under Onsite space, choose which room at your onsite venue the segment will take place in (60 characters max).
      • Select an existing room from the drop-down.
      • To add a new room, type in its name and click Create.
      • Click Edit rooms to rename, add, and remove onsite rooms.


    6. Enable the Add onsite capacity check box.
      ✔ The Onsite capacity field appears.
    7. Under Onsite capacity, specify the number of seats available in the room in which the segment is taking place.


    8. Click Add to schedule.

Tip: When adding floor plans, ensure the room names in the schedule match the names in the floor plans, so attendees can easily locate event areas.

Note: Adding onsite capacity to schedule segments enables attendees to reserve a seat in those segments. While you manage segment check-in in the Organizer app
