Using RingCentral Events Organizer app

The RingCentral Events Organizer app (available on iOS and Android) is a free mobile application designed for managing onsite check-ins and more. This guide explains how to sign in to the Organizer app and gives an overview of the available features. 

Important: To begin using the app, it's necessary to first create a Hybrid or an Onsite event and establish check-in areas.

Signing in to the Organizer app

To assign a mobile device to a check-in area:

  1. Download the Organizer app (available on iOS and Android).
  2. Open the app and tap Continue.
    Note: Clicking on Use the RingCentral Event app will take you to the App Store for your device to download the Attendee app. This option is added for attendees who mistakenly downloaded the Organizer app.
  3. Tap Scan check-in area code to scan the QR code with your camera.
  4. Alternatively, tap Enter QR number instead and paste the numerical code into the field provided.
         

Finding check-in area QR code

To access the QR code of a check-in area:

  1. Go to Event Dashboard > Onsite Features > Check-in Areas.
  2. Hover over the selected check-in area and click the Pencil icon.


  3. In the Check-in area details, you can see and scan the QR code, copy the numerical QR code, send the QR code via email or print the QR code image.

Tip: If you don't have admin access to the Event Dashboard, ask a colleague to send you the QR code via email or share the QR code image or numerical code. 

Organizer app features

Event check-in/check-out

The primary function of the Organizer app is to enable attendee check-in when they arrive at the event venue. To learn more, refer to our guide Organizer app: Checking in attendees to an event.

Onsite registration

If someone arrives at your event without prior registration, you can easily add them as walk-ins using the Organizer app. To learn more, refer to our guide Organizer app: Checking in attendees to an event.

Managing attendee details

Within the Organizer app, you can access details for all attendees registered under hybrid or onsite ticket types. The app allows you to review attendee and registration information, customize badge names, add or change registration form answers, and change the ticket type. Onsite segment check-in/check-out

For events with scheduled segments that have limited onsite capacity, the Organizer app enables you to check attendees in and out of these segments. To learn more, refer to our guide Organizer app: Checking in attendees to onsite segments.

Kiosk mode

The Organizer app features a kiosk mode that allows attendees to independently complete check-in and print their badges. To learn more, refer to our guide Organizer app: Accessing kiosk mode.

Badge printing

You can connect a Zebra or Brother printer to the Organizer app to automatically print badges during check-in. To learn more, refer to our guide Organizer app: Setting up badge printing

Badge export 

If you prefer not to print badges during check-in, the Organizer app allows you to export badges for all onsite registrants as a PDF file. This option is useful for pre-printing badges or keeping a digital record. To learn more, refer to our guide Organizer app: Exporting badges.
