Creating and managing check-in areas

This guide explains how to create and manage check-in areas for your Hybrid or Onsite event.

Creating a check-in area

To add a new check-in area:

  1. Go to Event Dashboard > Onsite > Check-in Areas.
    Note: Here you will see one default check-in already created. While it cannot be removed, you can edit its name to meet your event needs.
  2. Click Add check-in area.


  3. Enter the area name and click Add check-in area

Once added, check-in areas will be listed on this page. Here’s what you can do:

  • Edit: Hover over the listing and click the Pencil icon to manage a check-in area.
  • Disable: Hover over the listing and click the Stop icon to disable access to a check-in area via the RingCentral Events Organizer app.
  • Delete: Hover over the listing and click the Bin icon to delete a check-in area.
    Note: The default check-in area cannot be deleted.

Managing a check-in area

To manage a check-in area, go to Event Dashboard > Onsite > Check-in Areas, hover over the listing and click the Pencil icon. In the Check-in area details, you can edit the area name, access and share the area's QR code, create a new QR code and remove signed-in devices.

Editing area name

Under Area name, you can adjust your area name. Once ready, click Save.

Accessing and sharing a QR code

You and your onsite staff will use the QR code to assign a mobile device to a check-in area and start welcoming attendees. For detailed steps, on how to sign in to the Organizer app, refer to our guide Using RingCentral Events Organizer app.

To share your QR code with other team members:

  • Copy the numerical code and send it via direct messages or email.
  • Click Send QR code via email to send the QR code to the selected email addresses.
  • Click Print to open the QR code printout preview which you can save as a PDF or print directly.

Creating a new QR code

To invalidate the current QR code for the check-in area, click Create new QR code.
✔ You will be prompted to confirm your choice. Click Create new code to continue. 

Note: This won’t affect previously paired devices.

Removing devices

In the Check-in area details, you can see the list of devices paired with this check-in area in the Organizer app, including the device type, first login and last active date and time.  

To remove a device, hover over the entry and click the Bin icon. 
✔ You will be prompted to confirm your choice. Click Remove to continue. 

Tip: To prevent removed devices from joining again, create a new QR code.
