Post-event Replay: Making recordings available after the event

With the post-event Replay feature, Organizers can make event recordings available for up to 12 months after the event ends. This guide explains how to enable the Replay area after the event is over and provides a brief overview of the post-event attendee experience.

Note: Post-event Replay will only be accessible by attendees who were registered for the event before it ended. To allow new attendees to register and watch the recordings after the event has ended, follow our guide on Setting up post-event registration

Enabling post-event Replay

To make recordings available to your attendees after the end of your event, you need to enable post-event Replay and publish your recordings.

  • To enable the post-event Replay in a Virtual or Hybrid event:

    1. Navigate to Event Dashboard > Setup > Basics (or to More > Setup > Basics if your event has already ended).  
    2. Under Event areas, select the Replay check box if not already enabled.

    3. Toggle Keep Replay available after event and select how long the recordings will be available after the event ends. You can choose anything from 1 day up to 12 months. 

    4. Click Save.

  • To enable the post-event Replay in a Webinar event:

    1. Go to Event Dashboard > Setup > Basics (or to More > Setup > Basics if your event has already ended).  
    2. Click Show webinar areas.
    3. Under Webinar areas, select the Replay check box if not already enabled.
    4. Toggle Keep Replay available after event and select how long the recordings will be available after the event ends. You can choose anything from 1 day up to 12 months. 
    5. Click Save

To publish recordings:

  1. Go to Event Dashboard > Recordings. This gives you access to all your event recordings.
  2. Next to the recording you want to make available in the Replay area, toggle Publish.
    Note: You will also find the option to publish in the Recording settings. 
    ✔ The recording will be visible in the Replay area of the event.
Tip: To give access to the Replay after the event only, publish your recordings or enable the Replay area once your event is finished.

Post-event invitation email

A post-event invitation email will be sent to attendees 2 hours after the event ends to inform them that the post-event Replay is available, with a link to watch the recordings. Go to Event Dashboard > Marketing > Customize Emails to customize the email if needed. 

Warning: You need to have the Replay area enabled and at least one recording published in the 2 hours following the end of the event or this email will not be sent. 

If you miss to enable Replay and publish your recordings on time, you can create a custom email to deliver Replay links: 

  1. Go to Event Dashboard > Marketing > Email Attendees
  2. Click Create email.
  3. In the email editor, add your template name, email subject and email body.
    • Incorporate {{ event.replay_link }} liquid tag to your email body. This link generates the personalized magic link to the event Replay area and automatically signs the user in.
  4. Click Save and preview.
  5. Make sure the email looks good and send yourself a test email.
    Note: Remember that magic links get generated for regular registrants, not Organizers.
  6. When ready, click Send email or Send later to schedule it for a later time/date.

Post-event attendee experience

Attendees cannot access the Stages, Sessions, and Expo, while in the post-event Replay area. Reception and Networking areas, including the speed networking, will stay accessible if enabled.
