This guide explains how to install and map the Splash app on your Organization account and configure your Splash account.
What is Splash?
Splash is an event marketing platform for hosting virtual, hybrid, and onsite events. Splash offers multiple features, including event page design, ticketing, email management, and reporting. It offers a free plan with limited functionality, while more features, including integrations, require a paid plan.
How does the integration work?
RingCentral's integration with Splash supports the following workflows:
- Pull registrations from Splash to RingCentral Events, and push Magic Links back to Splash.
- Push the "attended" status from RingCentral Events to Splash when a registrant attends an event.
The Splash integration syncs data every two minutes. We are currently sending First Name, Last Name, and Email.
As this is not a real-time sync, you will need to send an additional email to your attendees that includes the Magic Link to your event. This can be configured through Splash or directly in your RingCentral Event Dashboard.
Requirements for Splash integration
Before installing and mapping Splash on your Organization, you will need the verify the following details:
- Your Splash authentication details (username, password, client ID, and client secret)
Note: Please create a separate login for the app or ensure that you are not using the same user for other integrations or logging in to Splash. - Your Splash CRM API key: This key is needed if you wish to export the "attended" status.
Note: You can access the CRM API key in your account settings. If not found please connect with your Splash CSM. Please make sure to select the option to Create Events for the API key as shown below.
You may also need to create two custom registration form fields to store the following RingCentral Events data:
- Ticket integration code: This field is a must when importing registrations from Splash to RingCentral Events. It maps the Splash registration to the correct ticket and event in RingCentral Events.
- Magic Link: This field is needed to push the Magic Links back to Splash when importing registrations from Splash to RingCentral Events. The Magic Link is used as an event access link for your registrants: clicking on it automatically signs the user into their RingCentral Events account and brings them to the event. This link can be incorporated into your Splash emails.
Note: Both fields need to be set up as Hidden Input. For detailed steps on how to create a form with hidden fields, refer to the Splash Help Center.
Installing & mapping Splash
To install the Splash app on your Organization account:
- In your Organization Dashboard, go to the Apps tab.
- Click Discover More on App Store.
- In the App store, you can find Slack under the Registration workflow category.
- On the Splash page, click Install app.
✔ You will be prompted to confirm your choice. Click Install to continue.
- On the Splash authentication page, click New authentication.
- To create a new authentication, enter your authentication name (internal), username, password, Client ID, and Client Secret.
- Once you've authenticated your Splash account, click Next.
- On the Splash configuration page, under the Integration code field, select the Splash field you created for storing the RingCentral Events Ticket Integration code (Ticket ID).
- [Optional] Under the Magic Link field, select the Splash field you created for storing the RingCentral Magic Events Link.
- [Optional] Under Splash guest contact statuses, select the status that should be imported from Splash to RingCentral Events.
- [Optional] To export the "attended" status from RingCentral Events to Splash, enter a CRM API key from your Splash account.
- Once ready, click Finish.
✔ You'll receive a message confirming the integration has been completed.
Testing the Splash integration
To test if the registrations are imported from Splash to RingCentral Events:
- Make sure the correct Ticket Integration Code is being used when a registration is created.
Tip: In the RingCentral Events, retrieve the integration code for each ticket by navigating to the Event Dashboard > Registration > Tickets. Hover over the listing and click the Copy icon to copy URL for each ticket.
Then, copy and paste the alphanumeric code from the ticket URL (after the "=" sign) as your integration code. - In your Splash registration form settings, add your Ticket Integration Code as the default value to the hidden Ticket Integration Code field you created earlier. Save the form.
- Preview your Splash registration form and complete it with a test registration.
- In your Splash account, go to Guests and confirm your test registration has been added to the list with the correct RingCentral Events Ticket Integration Code. After a maximum of two minutes, the Magic Link field should get populated too.
- In your RingCentral Events account, go to your Event Dashboard > Registration > Magic Links > Manage Invites to confirm that the person has been added to the list.
To test if the attendance status is exported from RingCentral Events to Splash:
- If you have configured the registration import from Splash to RingCentral Events:
- Use the same test registration you created earlier.
- Complete the registration by clicking on the Magic Link and access the event during the live hours.
- In your Splash account, go to Guests and confirm your test registration has been updated with the Checked In status.
- If you haven't configured the registration import from Splash to RingCentral Events, but have provided the CRM API key:
- Register for your RingCentral event via the event landing page (use an Incognito window to do a test registration with another account when you're already logged into your Organizer account).
- Access the event during the live hours.
- In your Splash account, the integration will create an event with the same name (it will also have a tag RingCentral for identification purposes). Once the event is created, new registrants will be added under that event with the status Checked In.
