How to use external URLs in an event

External URLs can be used to direct attendees to external web pages, guide them through an event and link to additional important information. 

What are External URLs?

External URLs are links that will take an attendee away from the RingCentral event. They can be in the form of clickable links within the text like this or they can be in the form of buttons.

Adding External URLs to text

You can also add External URLs to the text within our rich text editors that can be found when adding a description for a scheduled segment, and in the Additional Information section for Stages, Sessions, and Expo Booths, as well as in your Reception. 

First, highlight the text that you would like to add a URL to and then click the icon that looks like a chain.

Then, a small pop-up will prompt you to input the URL of your choice. 

Note: You must use the full URL for it to work correctly. The correct format is https://www.example.com and if it is not correct, the attendee will be directed to an error page.

To be safe, you can copy and paste the correct link directly from the address bar.

Click the green arrow (or sometimes it may have a Save button) to add the link to the text.

The text containing the External URL will be blue and must be clicked on directly to take the attendee to the page of your choice.

Note: The External URL will be clickable throughout the entire event, whether it is part of a scheduled segment or not. 

Adding External URLs to the schedule

You can now add an external URL to your schedule to guide attendees to an external web page at a specific time during your event. You could use this feature to guide them to another event, ask them to fill out a survey, or show them additional information regarding an organisation. 

To add an external URL to your schedule, go to your Event Dashboard > Venue > Schedule and select Add to schedule.

From the dropdown list under "Session type" select External URL.

Fill out the information needed for the segment. Make sure to select Open URL in new tab so that it will open the link in a new page, and leave your RingCentral event open.

You can also add an external URL directly from the description box in Table View.

Note: You must use the full URL for it to work correctly, otherwise you will be shown an error and you will not be able to save the scheduled segment. The correct format is https://www.example.com 

To be safe, you can copy and paste the link directly from the address bar. 

Make sure you click Save and then you will see your new segment in your schedule. 

Attendees will be able to click on the segment on the Reception page only when the schedule segment is live, and it will link directly to the external page you specified.

Note: The external URL will only be active during the times you selected when setting up the segment. For the example above, attendees will only be able to click on this segment between 2:45 and 11:40pm.
