Replay: Making recordings available during the event

Replay is a dedicated event area where Organizers can make Session and Stage recordings available to attendees. Attendees can filter content according to segments and dates, allowing them to watch any missed or favorite sessions directly from the online event venue.

This guide explains how to enable the Replay area, publish the recordings, add Replay to your schedule, and view Replay analytics.

Enabling Replay

To make recordings available to your attendees, you need to enable Replay and publish your recordings.

  • To enable the Replay area in a multi-track event:

    1. Go to Event Dashboard > Setup > Basics.
    2. Under Event areas, select the Replay check box.
    3. Click Save

  • To enable the Replay area in a Webinar event:

    1. Go to Event Dashboard > Setup > Basics.
    2. Click Show webinar areas.
    3. Under Webinar areas, select the Replay check box.
    4. Click Save

To publish recordings:

  1. Go to Event Dashboard > More > Recordings.
  2. Under Original Recordings or Clips, find the recording you need. 
  3. Next to the recording you want to make available in the Replay area, toggle Publish.
    Note: You will also find the option to publish in the Recording settings. 
    ✔ The recording will be visible in the Replay area of the event.

Tip: You have the flexibility to rename the recording, create a clip, download, or delete it. When creating clips, you can only publish one version of each recording to your Replay area at a time. For more information, check out our guide on accessing and creating recording clips.

Replay and recording limitations

  • Mirroring from a Session or Stage when using RTMP, apps and integrations will not be included in your recordings.
  • It takes a minimum of 1/3 of the recording length time in order for a recording to appear in the recording library. For example, if a recording was 60 minutes, Organizers can expect to see it in the recording library in roughly 20 minutes. However, it can take up to 24 hours for your recordings to become available. 
  • Replay is not available on the RingCentral Events Mobile App and can currently only be accessed on a web browser. 
  • Replay is available for all ticket types and cannot currently be restricted by ticket type. 
  • If you enable or disable Replay during a live event, attendees will need to refresh their browser tab in order to see the change reflected in the event.

Adding Replay to your schedule

To encourage attendees to catch up on Sessions or Stage broadcasts they may have missed during the live event, you can add Replay to your schedule:

  1. Go to Event Dashboard > Venue > Schedule. 
    (Or go to Event Dashboard > Setup > Schedule in a Webinar event). 
  2. Click + Add to schedule.

  3. Under Segment type, select Replay from the drop-down list. 
  4. Fill out the rest of the information.

You will see the new segment on your schedule that will link directly to Replay when it is live.
