Creating tickets

Setting up the registration process for your event starts from creating tickets. This guide explains how to create a ticket, share a private ticket link, enabled the waitlist, change the ticket order, and change the ticket type for registered users. 

Tip: Before creating tickets for your event, review your Global registration settings to configure the registration close date, the currency, and the maximum number of tickets per order.  

Creating a ticket

To create a ticket:

  1. Go to Event Dashboard > Registration > Tickets.
  2. Click + Create a New Ticket (if you already have tickets created) or Create tickets (if you don't have any tickets created yet). 
    Note: Once you create a new event, a free ticket will be created automatically. You can edit it or delete it.


  3. In the Ticket settings, fill in the following details: 
    • Ticket access (applies to Hybrid event only): Select whether this ticket is Virtual or Hybrid. If you select Hybrid, attendees will receive a QR code to access the on-site event.
    • Ticket name
    • Description (optional)
    • Ticket type: Select if the ticket is Free or Paid.
      Note: You must connect your Stripe account to RingCentral Events before creating paid tickets. Otherwise, the option will be disabled.
    • Total tickets available: This is the maximum number of registrations for this specific ticket.
    • Ticket availability: A ticket marked as Closed will show as unavailable in the Registration widget. Selecting Custom allows you to set up ticket sales start and end dates. 
    • Private ticket: Enable this option to make your ticket unlisted and only obtainable through a private link.
    • Enable waitlist: When the ticket sales get closed, users will be able to get on the waitlist. 
      • Max people on waitlist: This is the maximum number of Waitlists for this specific ticket. 
  4. Once ready, click Add ticket.

Sharing private tickets

Private tickets are great for speakers or moderators allowing you to accept free registrations when regular tickets are paid. This will bring them to the event’s usual registration page, but a Private ticket will be visible only to them. 

To copy a private ticket link:

  1. Go back to Event Dashboard > Registration > Tickets.
  2. Hover over the select ticket.
  3. Click the Copy icon to copy the URL.
    The link will be copied to your clipboard so you can paste it into your marketing communication or send it to your audience directly.

Enabling waitlist

The waitlist functionality allows users to get on a waitlist and notifies them via email when tickets become available. However, it does not function as a reservation system to automatically reserve a ticket for them. Users have to manually visit the event registration page to purchase a ticket when it becomes available.

To review the waitlist, go to Event Dashboard > Registration > Registrants > Waitlist. Here, you can see the name, email address, ticket type requested, and date of attempted registration of the people on your waitlist. 

To contact users on the waitlist, you can copy their email addresses and reach out to them outside the platform.

To guarantee a spot to the users who got on the waitlist first, you can send them instead of opening the ticket sales and triggering the email notification. You can send a single Magic Link invite manually or you can create a CSV file with the list of attendees to send the invites in bulk. Changing ticket order

In the Registration widget, tickets are displayed in the same order you have created them and can see them listed in the Event Dashboard.

To change the ticket order, go to Event Dashboard > Registration > Tickets and drag and drop the tickets on the list. 

Changing the ticket type for existing registrations

You can change a registrant's ticket type in the Registration details in the Event Dashboard > Registration > Registrants page. In this case, the registration will still have the original price or stay free. You will need to issue the refund or charge for the new ticket manually if applicable. For more details, refer to our guide on Changing a registrant's ticket type.

Alternatively, you can remove an existing registration and ask the attendee to register for the event with again the appropriate ticket type.
