Before setting up tickets for your event, you must create advanced settings for the registrations to manage the registration close date, the currency, and the bulk registration.
To create tickets, go to the Event Dashboard > Registration > Tickets and click + Create a New Ticket (if you already have tickets created) or Create tickets (if you don't have any tickets created yet).
When creating a ticket, you need to fill in the following fields:
Ticket access: Select whether this ticket is Hybrid or Virtual. If you select Hybrid, attendees will receive a QR code to access the on-site event.
- Ticket name
- Ticket description (optional)
- Ticket type: Select if the ticket is Paid or Free,
Price: Available if you choose the Paid option.
- Total tickets available: This is the maximum number of registrations for this specific ticket.
- Ticket availability: A ticket marked as Closed will be turned off in the Registration modal. Users will see it but will be unable to select tickets/to transact for this specific ticket. Selecting Custom allows you to set up ticket sales start and end dates.
Private Ticket: Enable this option to make your ticket unlisted and only obtainable through a private link. Private tickets are great for speakers and staff — for example, you can create a private free ticket when regular tickets are paid. If your ticket is private, go back to the Tickets page, click the copy button to copy the URL of your private ticket to your clipboard, and then send it to your guests directly. This will bring them to the event’s usual registration page, but a Private ticket will be visible only to them.
Enable Waitlist: When the ticket sales get closed, users will be able to get on the waitlist.
- Max People on Waitlist: This is the maximum number of Waitlists for this specific ticket.
Once you're done creating the ticket, remember to save it.
The waitlist feature does not act as a reservation system. It only allows the attendees on the waitlist to know when tickets are available via email, and it does not automatically reserve a ticket for them. If and when a ticket becomes available, they will need to navigate to the event registration page to purchase it.
Who is on the Waitlist?
You can go to Event Dashboard > People > Registrants to see who has signed up for the Waitlist of your event. Select the Waitlist tab to display more details.
You can see the name, email address, ticket type requested, and date of attempted registration of the people on your waitlist.
How to contact people on the Waitlist
You must use the email addresses provided to contact anyone on your event's Waitlist.
Search using the bar at the top of the page or filter using the drop-down menus to find specific users.
You can use the Magic Link function (Advanced plans only) to send out invites by inputting their email address individually. Using our bulk upload feature, you can also upload them to the registrant page.
Can I change the ticket type of my attendees?
Event organizers can change the attendee's ticket type in the Event Dashboard > People > Registrants page. Here is a detailed guide on how to do it. In this case, the registration will still have the original price or stay free. The event organizer must issue the refund or charge the new ticket manually if applicable.
Alternatively, the event organizer can remove an existing registration by refunding and blocking it and asking the attendee to re-register for the event with the appropriate ticket type. Here is the guide explaining how to block and refund attendees.
