This guide explains how to adjust the display period for scheduled Sessions and how to share the Session link for rehearsals.
Displaying Sessions before and after the scheduled time
By default, scheduled Sessions appear in the event's Sessions area for general access 5 minutes before the scheduled start time and disappear 5 minutes after the scheduled end time.
To change Session display limits:
- Go to Event Dashboard > Setup > Basics.
- Open Advanced Settings.
- Under Session Display, adjust the number of minutes.
- Click Save.
Sharing the direct Session link for rehearsal
Only Organizers and assigned Speakers can access a scheduled Session via the Sessions area before the start time. Unassigned Speakers and Moderators need a direct link to access a Session for rehearsal. You can find and share this link through Session settings, Schedule settings, or directly from the event venue.
Note:
- Speakers need to be assigned to the Session segment in the Schedule setting to be able to see it in the Session area before the start time.
- Unlike Speakers, Moderators don't have access to the event venue before the official start time. When sharing the Session link with a Moderator before the event starts, enable Early Access in your Event Dashboard > Venue > Venue Controls. Otherwise, they won't be able to access the Session.
Session settings
- Navigate to Event Dashboard > Venue > Sessions to access the list of Sessions.
- Hover over the selected Session listing and click the Go to session icon to open a Session room in a separate tab.
- Copy the URL from the browser's address bar. You can then share this link with your speakers and moderators as needed.
Schedule settings
- Go to Event Dashboard > Venue > Schedule.
- Find the needed scheduled segment in the schedule.
- Click the Menu icon ••• and select Share session link.
- In the popup window, you'll be able to copy a direct link to each Session linked to the segment.
Event venue/event preview
As an Organizer, you can see the scheduled Sessions in the online event venue before the configured display time (if the event hasn't started yet, you can preview the event venue). These Sessions will be marked with the Test run badge. This way, you can access the session directly from the event venue and copy the URL from the browser.
