Enabling SSO on an event
Once the feature is enabled by the RingCentral Events team, you can take the following steps to set up SSO for your event.
In the Event Dashboard, navigate to the Setup > Basics tab, scroll down and click on Advanced Settings to display the SSO option and select the Enforce SSO-only event registration checkbox.
Customizing Order Confirmation Emails
When a user registers for the event, they automatically receive an Order Confirmation email containing a personalized Magic Link. It's important to note that clicking on a Magic Link bypasses Single Sign-On (SSO). Therefore, the Organizer should customize this email by replacing the Magic Link with the event link.
To make these adjustments, navigate to the Event Dashboard > Marketing > Customize Emails. Hover over the Order Confirmation email and click on the pencil icon to initiate the editing process.
Within the email editor, locate the 'order join event' button tag, and click on the link option. This action opens a pop-up window with link settings where you can modify the display text and insert the event link tag into the URL field.
You will also need to manually remove the paragraph placed under the button: "This is an unique link for you only. Please do not share it with anybody else."
To address button customization, access the Source of the email and locate the code defining your button. You can easily find it by searching for the display text (e.g. Enter event) or the event link liquid tag. Add an additional piece of code as illustrated in the screenshot below:
If you wish to change the button's background color, locate the CSS part defining the .join-event-link class name in the Source of the email.
Once done with customizing, click Update & Preview, send yourself a text email if necessary and, finally, click Save to save the changes. For more information on customizing emails, refer to our guide here: Customizing Automated Emails to Attendees
Inviting External Users via Magic Links for SSO Protected Events
For inviting external users to an SSO-protected event, the Organizer can use the Magic Links option. A user invited through a Magic Link Invite will be able to login to RingCentral Events, access the event and bypass the SSO.
Attendee experience when accessing an SSO protected event
For events that are protected by Single Sign-On (SSO), when the attendee accesses the event link, they will see a restricted event page that tells them that this event is a protected area and should only be accessed by the authenticated users. When the attendee clicks the Proceed anyway option, they will be re-directed to the organization's SSO page as per their IDP (Identity Provider). We are using an Okta page as an example here.
Upon validating with the correct credentials, the attendee will have an account automatically created (if not already existing) and logged in to RingCentral Events and the user will see the event registration page.
