This guide explains how to enable Reception and add the welcome message and apps.

What is Reception?

Reception serves as a lobby where attendees can learn about the event and get oriented. It's typically set as the landing page, making it the first screen your attendees see when they join your live event. The Reception displays:

Enabling/disabling the Reception area

  • In multi-track events, Reception is enabled and set up as landing by default. To disable it and/or to set a different area as landing:

    1. Go to Event Dashboard > Set up > Basics
    2. Under Event areas, unselect the Reception check box to disable it.
    3. Click on the Menu icon ••• next to a different area and select Set as Landing Area to set it up as landing instead.
    4. Click Save.

  • In a Webinar event, Reception is disabled by default. To enable it:

    1. Go to Event Dashboard > Set up > Basics.
    2. Click Show webinar areas next to the chosen webinar style.
    3. Select the Reception check box to enable it.
Optional: Click on the Menu icon ••• and click Set a Landing Area to set it as a landing page.
    4. Click Save

Customizing Reception

The event banner, Schedule, Speakers added to the schedule, and Sponsors are automatically displayed on the Reception page. In the Reception settings, you can customize the welcome message and add apps to the event-wide activity panel.

  • To customize the welcome message and add apps to the event-wide activity panel in a multi-track event:

    1. Go to Event Dashboard > Venue > Reception (or to Event Dashboard > Content > Reception for Onsite events).
    2. Under Welcome Message, use the text editor to add a description and embed widgets, videos, hyperlinks, and downloads. For more details, see our guide Understanding Customizable Content Area and Additional Information.
    3. Under Apps, you can configure engagement and transition apps added to your Organization to integrate into the event-wide activity panel, including Slido, GoFundMe, Mentimeter, Action Button, and many more.
      • If you haven't added any apps yet, click Discover more apps to get redirected to the App store where you can review and add various apps. In the App store, you can filter apps by event area (Reception) to review those compatible with the activity panel. For more details on the available apps and their functionalities, refer to our guide: Which Apps are available on RingCentral Events?
    4. Once ready, click Save

  • To customize the welcome message in a Webinar event:

    1. Go to Event Dashboard > Set up > Reception.
    2. Under Welcome Message, use the text editor to add a description and embed widgets, videos, hyperlinks, and downloads. For more details, see our guide Customizing content and additional information areas.
    3. Once ready, click Save

Note: In the Webinar event format, there's a single activity panel due to the singular virtual space, either Stage or Session, unlike multi-track events, which support multiple activity panels at various levels (Event, Stage, Session, Expo booth). For more details on how to set up an activity panel in a Webinar, refer to our guide Webinar event: Configuring the activity panel.
