Exhibitors: Accessing your booth on the day of the event

If you’re an Exhibitor at an event hosted on RingCentral Events, or you’ve been assigned a booth, follow this guide to access and moderate your booth on the day of the event.

Entering the booth

First of all, you have to be registered for the event as an Attendee. Event Organizer may send you a Magic Link invite. Alternatively, you will have to register via the event landing page.

On the day of the event, access the event by clicking on your personalized Magic Link in your registration confirmation email or signing in tp your user account. If you need more guidance, refer to our dedicated guide Attendees: Accessing an event.

In the event venue, click Expo on the left sidebar and find your booth. Click on it to enter.

If it's a pre-recorded video, your role involves managing the Booth chat exclusively. For a live session, upon entering the booth, click Share Audio and Video to join the screen.

Using the activity panel

The Activity panel on the right-hand side includes multiple tabs, such as Chat, Q&A, Polls, and additional features depending on the event setup. These tabs are designed to maintain audience engagement throughout the event.

Say hello to your Booth visitors in the chat and answer any questions they may have.

Tip: You can post a message with an important update or information and ask the Organizer to pin it in your Booth.

As a Moderator, you can also create and manage polls.

When Q&A moderation is enabled in the event settings, as a Moderator, you will be able to approve and delete questions in the Q&A tab.

Allowing attendees to share their audio and video

In a moderated Session, attendees need to ask to share audio and video. The Host Controls icon will display a red tag with the number of requests. Open Host Controls and go to Moderation to approve or decline these requests. 

Additionally, to take attendees off the session screen or remove a screen share, hover over the selected attendee or screen share tile, click the Menu icon ••• and click Remove

Switching between a live Session and your fallback provider

If a fallback provider is configured in your Booth, you can switch between an embedded pre-recorded video or slides and the Session room at any time. To learn more about this option, refer to our guide on Switching from a live video to a pre-recorded video in Expo Booths.

Using moderation toolbar

When a Booth is setup as a live Session, as a Moderator, you can create an engaging presentation and a live chat by using multiple features. To learn more about options available in the Host Controls, refer to our guide Moderators: Moderating a Session or an Expo Booth.
