Sharing pre-recorded videos on Stage

Sharing pre-recorded content is a great way to enhance your broadcast. This guide explains how to upload video files to the Backstage studio powered by StreamYard and how to embed a pre-recorded YouTube, Wistia or Vimeo video on Stage.

[LIVE STREAM] Using StreamYard backstage 

When broadcasting from the Backstage studio powered by StreamYard, you can share video file or upload video clips.

Sharing video files

To share a pre-recorded video in the Backstage studio:

  1. In the Controls bar, Click Present
  2. Click Video file to upload a video file from your computer (MP4 and MOV files).
    ✔  It will automatically be added to the stream (unless you disable this in settings). You can pause, play, scrub through it, and change the layout.
    Note: There is no limit to length or size of file that you can share this way.

Uploading video clips 

If your video is less than 10 minutes and under 200 MB, you can upload it in the Video Clips section in the Backstage studio:

  1. Go to Brand.
  2. Under Video clips, click Add video clip.
    Note: Videos must be MP4 files. MOV and MV4 files are not supported.

  3. Hover over the clip and click + Show to add the clip to the stream. Similarly, click + Hide to remove the click from the stream.

Screen sharing

If you don't have a video file on hand, you can screen share a tab or a window with your video. 

Note: To screen share with audio, you must use Chrome: sharing tab audio works on MacOS and Windows while sharing entire screen audio on Windows only. Firefox doesn’t support sharing a tab with sound. Refer to our guide Screenshare: Sharing audio from any third-party app for more details. 

To share a screen in the Backstage studio:

  1. In the Controls bar, Click Present
  2. Click Share screen.


  3. Select your Chrome tab from the list and enable Also share tab audio so the attendees can hear the audio.
  4. Click Share to start sharing.

[NO LIVE STREAM] Changing your stream provider 

You can embed pre-recorded videos from YouTube, Vimeo, or Wistia to your Stage by changing the stream provider in the settings. It will not be part of your live stream and your audience will be able to play the video when they enter the Stage area. 

Important: The option to embed a pre-recorded YouTube, Wistia or Vimeo video is available for Virtual and Hybrid events only. Webinar events can only have StreamYard backstage studio as a stream provider. 

To embed a pre-recorded YouTube, Vimeo, or Wistia video on Stage:

  1. Go to Event Dashboard > Venue > Stages and open the settings of the Stage you'd like to edit.
  2. Under Stream provider, select the provider of your choice (YouTube, Wistia, or Vimeo).
  3. In the Stream Identifier textbox, paste the video ID.
    Important: Paste the ID only, NOT the entire URL. If the entire URL is used an error will occur. Be sure to use a video that is Public or Unlisted and not Private, as otherwise it will not work.

  4. Click Save.

Important things to note:

  • You can switch the stream provider at any time throughout your event.
  • When changing a stream provider, attendees may need to refresh the Stage tab to view the change.
  • Attendees will need to click 'play' for the video to begin.
  • To embed a YouTube playlist, add the entire URL, the playlist link must include https://www.youtube.com/playlist?list= You can find the link of the playlist by clicking the Playlist name at the bottom right corner of the YouTube window.
  • Adding YouTube, Vimeo and Wistia as a steam provider works for uploaded videos only. Do not use this option to redirect your live stream from one of this platforms to RingCentral Events. 
  • Embedded YouTube, Vimeo or Wistia videos are not recorded. If you need your pre-recorded content to be included in your Stage recordings, use StreamYard backstage as instructed above.
