Sharing pre-recorded content is a great way to enhance your broadcast. This guide explains how to upload video files to the Backstage and how to embed a pre-recorded YouTube, Wistia, or Vimeo video on Stage.
Using RingCentral Events Studio
When using RingCentral Events Studio to broadcast, you can share video files or simply share a screen.
Sharing video files
To upload a video to the Studio:
- Go to the Stage tab in the Studio panel.
- Click Present anything.
- Go to the Video tab.
- Drag and drop your video file or click the Plus icon to select a file from your computer.
- Supported format: MP4
- Minimum length: 30 seconds
- Maximum video size: 1080p (1920x1080px)
- Maximum file size: 5GB
Note: Video processing time is approximately 0.4x the video length, so upload large videos in advance.
Uploaded videos will auto-play and loop when brought to the screen. The videos are streamed from RingCentral Events cloud storage. For more information, refer to our guide Studio: Sharing videos.
Sharing screen
If you don't have a video file on hand, you can screen share a tab or a window with your video.
To share a screen in the Studio:
- Go to the Stage tab in the Studio panel.
- Click Present anything.
- Click Share screen.
- Select your Chrome tab from the list and enable Also share tab audio so the attendees can hear the audio.
- Click Share to start sharing.
Using StreamYard backstage
When broadcasting from the Backstage studio powered by StreamYard, you can share video files, upload video clips, or simply share a screen.
Sharing video files
To share a pre-recorded video in the Backstage studio:
- In the Controls bar, Click Present.

Click Video file to upload a video file from your computer (MP4 and MOV files).
✔ It will automatically be added to the stream (unless you disable this in settings). You can pause, play, scrub through it, and change the layout.Note: There is no limit to the length or size of the file that you can share this way.
Uploading video clips
If your video is less than 10 minutes and under 200 MB, you can upload it in the Video Clips section in the Backstage studio:
- Go to Brand.
- Under Video clips, click Add video clip.
Note: Videos must be MP4 files. MOV and MV4 files are not supported.
- Hover over the clip and click + Show to add the clip to the stream. Similarly, click - Hide to remove the click from the stream.
Screen sharing
If you don't have a video file on hand, you can screen share a tab or a window with your video.
To share a screen in the Backstage studio:
- In the Controls bar, Click Present.

Click Share screen.
- Select your Chrome tab from the list and enable Also share tab audio so the attendees can hear the audio.

Click Share to start sharing.
Changing your stream provider [NO LIVE STREAM]
You can embed pre-recorded videos from YouTube, Vimeo, or Wistia on your Stage by changing the stream provider in the settings. The video will not be part of your live stream, and your audience will be able to play it when they enter the Stage area.
Important: The option to embed a pre-recorded YouTube, Wistia or Vimeo video is available for Virtual and Hybrid events only. Webinar events can only have RingCentral Events Studio or StreamYard Backstage as a stream provider.
To embed a pre-recorded YouTube, Vimeo, or Wistia video on Stage:
- Go to Event Dashboard > Venue > Stages and open the settings of the Stage you'd like to edit.
- Under Stream provider, select the provider of your choice (YouTube, Wistia, or Vimeo).
- In the Stream Identifier textbox, paste the video ID.
Important: Paste the ID only, NOT the entire URL. If the entire URL is used an error will occur. Be sure to use a video that is Public or Unlisted and not Private, as otherwise it will not work.
- Click Save.
Important things to note:
- When switching to YouTube, Vimeo, or Wistia as a stream provider, the live broadcast from Backstage will be interrupted immediately. Always keep in mind that there's an expected streaming delay from Backstage to Stage. It is recommended to wait until the speaker finishes the presentation before saving the changes.
- When changing a stream provider, attendees may need to refresh the Stage tab to view the change.
- Attendees will need to click 'play' for the video to begin.
- To embed a YouTube playlist, add the entire URL, the playlist link must include https://www.youtube.com/playlist?list= You can find the link of the playlist by clicking the Playlist name at the bottom right corner of the YouTube window.
- Adding YouTube, Vimeo and Wistia as a steam provider works for uploaded videos only. Do not use this option to redirect your live stream from one of these platforms to RingCentral Events.
- Embedded YouTube, Vimeo, or Wistia videos are not recorded. If you need your pre-recorded content included in your Stage recordings, use RingCentral Events Studio or StreamYard backstage as instructed above.
Using Simulive [NO LIVE STREAM]
You can schedule one of your existing recordings or an uploaded video file to run automatically at a specific point in time on a Stage. For detailed steps, refer to our guide on Adding a simulive segment to schedule.
Streaming via RTMP
