You can create a moderated Session to control participants joining the screen. This guide explains how to assign a Moderator to a Session or a Booth and what the Attendees' and Moderator's experience will be like.
Important notes:
In addition to allowing participants to join the screen, assigned Moderators have the following permissions in their Session or Expo Booth:
- Mute a Speaker for all attendees
- Remove a Speaker from the screen
- Create polls
- Answer and moderate Q&A
- Switch between the live Session and the fallback provider in the Expo Booth Session if the fallback provider is enabled by the Organizer or Invited Exhibitor
- Create breakout rooms and use other engagement features in a standard Session
- Moderate the Studio (available for Sessions only).

Adding a Moderator

To add a Moderator to a Session in a multi-track event:
- Go to Event Dashboard > Venue > Sessions.
- Create a new session or edit an existing one.
- Under Access, set the Who can share audio/video option to Moderated (for a standard Session) or to Studio (for a Session powered by our built-in RingCentral Events Studio).
- In the Select the moderators box, enter the attendee name and select the person among the results below.
Note: Only registered attendees can be assigned as moderators.
- Click Save.
To add a Moderator to an Expo Booth in a multi-track event:
- Go to Event Dashboard > Venue > Expo.
- Create a new Booth or edit an existing one.
- Under Content Provider, select Session.
- In the Select Moderators box, enter the attendee name and select the person among the results below.
Note: Only registered attendees can be assigned as moderators.
- Click Save.

To add a Moderator to a Session in a Webinar event:
- Go to Event Dashboard > Setup > Basics.
- Under Webinar Style, select Session.
- Under Access, toggle Moderated Session for a moderated Session.
- [Optional] Toggle Studio to have a Session powered by our built-in RingCentral Events Studio.
- In the Select the moderators box, enter the Attendee name and select the person among the results below.
Note: Only registered Attendees can be assigned as Moderators.
- Click Save.
Attendee experience
In a moderated Session, Attendees will need to click Join Stage and wait for a Moderator to approve their request.
If a Session is powered by our built-in RingCentral Events Studio, Attendees may also see the option to Join Stage (if enabled in the Studio settings).
Moderator experience
When Attendees ask to join the screen in a standard Session, the Host Controls icon displays a red tag with the number of requests. Organizers and assigned Moderators need to open Host Controls and go to Moderation to approve or decline these requests.
Organizers and assigned Moderators can click the Menu icon ••• on their video card to mute them or remove them from the screen.
In our built-in RingCentral Events Studio, the Stage tab displays the number of requests. Organizers and assigned Moderators can click Requests and hover over the selected person to approve or decline these requests.
