This guide provides essential checklists to review to ensure a seamless setup for a Hybrid or Onsite event.

Basic event setup

Have you…

Step 1: Created the event?  Creating a Hybrid event OR Creating an Onsite event

Step 2: Configured registration settings and landing page? 

Step 3: Created ticket types? Creating tickets

Step 4: Added registrants? Use one or several of the following options:

Step 5 (optional): Added floor plans (max of 10)? Adding floor plans

Check-in

Tracking onsite event attendance

Step 1: Are check-in areas created? Creating and managing check-in areas

Step 2: Is the check-in journey decided? Staff-led check-in can be tested in the RingCentral Events Organizer App.

IF attendees self-serve check in using Kiosk Mode, then…

Step 3 (optional): Is any signature collection set up? Setting up signature collection

Step 4: Is the kiosk mode configured and tested? Setting up a kiosk & Checking in at a kiosk.

Segment check-in

Step 1: Are check-in areas created? Creating and managing check-in areas

Step 2: Are the onsite segments added accurately to the schedule? Adding a hybrid or onsite segment to schedule

Lead Retrieval

Step 1: Are licenses purchased? Contact your RingCentral Events Success manager or Sales team for a quote.

Step 2: Are the Booths created and exhibitors invited? Expo tutorial & Inviting Exhibitors to set up an Expo Booth.

Step 3: Are licenses assigned? Enabling Lead Retrieval for Expo Booths

Step 4: Are Exhibitors registered for an event as attendees?

Step 5: Are Exhibitors trained and booths set up? Exhibitors: Setting up an Expo Booth & Exhibitors: Using the RingCentral Events Attendee app.

Step 2: Are registration consumables (badges, lanyards, badge holders, etc.) ordered? Certified in-person logistics suppliers for RingCentral Events Onsite

Step 4: Are check-in areas created? Creating and managing check-in areas

Step 5: Is the printer connected? Organizer app: Connecting a printer
